5 mistakes in the consumer file (and how to avoid them)

An incomplete file costs time, money and sometimes a re-inspection. These are the five slip-ups we see most often.

A consumer file stands or falls on completeness. Yet we keep seeing the same five mistakes recur - each of them avoidable with a bit of structure.

1. No version control

Three drawings with almost the same name and nobody knows which one is final. Keep one current version and archive the rest visibly.

2. Documents linked to people

If the file sits in the technician's mailbox, it disappears the moment they leave. Link everything to the object.

3. The final inspection is missing

The photos and manuals are there, but the sign-off of the final inspection is not. It's precisely that document that makes the file demonstrable.

4. Not transferable to the client

A file that only you can open does not help the client. Make sure it can be consulted independently and without a login.

5. Filling it in afterwards

What you don't record on site costs you twice as much time in the evening - or it never gets in at all.

The common thread: record during the work, link to the object and make it transferable. Do that consistently and a re-inspection is rarely needed.
